Position Summary

Comprehensive Pain and Spine Specialists, LLC is seeking a dependable, organized, and patient-focused Medical Office Receptionist to join our growing interventional pain management practice.

Our office provides specialized care to patients experiencing chronic pain conditions involving the spine, joints, nerves, and musculoskeletal system. Because we operate in a busy specialty medical environment, our front office plays an important role in maintaining efficient patient flow and providing a positive experience from the time a patient contacts our office through completion of their visit.

The ideal candidate will have previous medical front-office experience, a working knowledge of medical terminology and health insurance, and the ability to remain professional, organized, and attentive while working in a fast-paced environment.

This position requires strong communication skills, attention to detail, reliability, and the ability to work collaboratively with physicians, advanced practice providers, medical assistants, and administrative staff.

Primary Responsibilities

Responsibilities include, but are not limited to:

  • Greet patients professionally and provide courteous assistance throughout their visit.
  • Perform patient check-in and check-out accurately and efficiently.
  • Verify patient demographics, contact information, insurance coverage, and other required information.
  • Obtain and update insurance information and identify potential eligibility or coverage issues.
  • Collect applicable copayments, balances, and other patient payments according to office procedures.
  • Schedule and coordinate follow-up appointments and other patient visits as directed.
  • Answer and manage a high volume of incoming telephone calls.
  • Route patient messages and clinical questions to the appropriate medical staff or provider.
  • Assist patients with general scheduling and administrative questions while appropriately referring clinical questions to qualified clinical staff.
  • Maintain accurate patient information within the electronic medical record (EMR).
  • Scan, upload, and appropriately route medical records and other documentation.
  • Assist with incoming referrals, records requests, and administrative correspondence as assigned.
  • Communicate effectively with medical assistants and providers regarding scheduling concerns, patient arrivals, cancellations, and other issues affecting clinic flow.
  • Monitor the patient schedule throughout the day and assist with maintaining efficient patient movement through the office.
  • Maintain patient confidentiality and comply with HIPAA and practice privacy policies.
  • Help maintain an organized, professional, and welcoming front-office environment.
  • Assist other front-office team members during periods of increased patient or telephone volume.
  • Complete additional administrative duties as assigned by the Lead Receptionist or Office Manager.

Qualifications

Preferred qualifications include:

  • Previous medical office, medical receptionist, patient access, or healthcare front-desk experience.
  • Experience with patient check-in/check-out and appointment scheduling.
  • Familiarity with medical terminology.
  • Experience verifying health insurance eligibility and benefits.
  • Familiarity with commercial insurance, Medicare, Medicaid, and other common healthcare coverage.
  • Experience working with an electronic medical record (EMR) or practice-management system.
  • Basic computer proficiency and ability to learn new software and office systems.
  • High school diploma or equivalent required.

Previous experience in pain management, orthopedics, spine care, neurology, surgery, or another specialty medical practice is beneficial but not required.

Skills and Characteristics

The successful candidate should demonstrate:

  • Excellent customer service and interpersonal skills.
  • Professional and compassionate communication with patients.
  • Strong attention to detail and accuracy.
  • Ability to multitask and prioritize competing responsibilities.
  • Ability to remain calm and professional during high-volume or stressful periods.
  • Dependability and consistent attendance.
  • Strong organizational and time-management skills.
  • Good judgment regarding when patient concerns should be escalated to clinical staff or management.
  • Ability to accept feedback and adapt to changes in office procedures and workflow.
  • Willingness to assist coworkers and contribute to a team-oriented environment.
  • Ability to communicate effectively across both clinical and administrative departments.

Fast-Paced Specialty Practice

Our practice operates in a high-volume, fast-paced interventional pain management environment . The front desk frequently manages multiple responsibilities simultaneously, including arriving patients, departing patients, telephone calls, scheduling needs, insurance questions, and communication with the clinical team.

Candidates should be comfortable working at a steady pace while maintaining accuracy, professionalism, and excellent patient service.

We strongly value teamwork. Although each employee has defined responsibilities, successful operation of the practice requires cooperation between the front office, medical assistants, providers, and administrative staff. We are looking for someone who is willing to help where appropriate and who understands that good communication between departments directly affects both patient care and office efficiency.

What We Offer

Comprehensive Pain and Spine Specialists, LLC offers a competitive benefits package for eligible full-time employees, including:

  • Paid time off (PTO)
  • 401(k)
  • Competitive compensation
  • Opportunities for professional growth and development
  • A supportive, collaborative work environment
  • The opportunity to become part of a growing specialty medical practice focused on improving the quality of life of patients living with chronic pain
